Terms & Conditions
By booking any service with Sophie Spencer (“Sophie”), you agree to the following terms.
General Terms (All Services)
All sales are final. No refunds unless specifically stated otherwise.
Payments are due in full at the time of booking unless otherwise arranged.
Sophie reserves the right to reschedule sessions or deliveries due to illness, personal emergencies, or severe weather.
Services are provided in good faith and to the best of Sophie’s professional ability. Sophie is not liable for any indirect, incidental, or consequential damages arising from participation or use of recommendations provided.
HEADSHOT DAY BOOKING AGREEMENT
Between: Sophie Spencer trading as Branding by Sophie (ABN 64 697 885 572) ("the Photographer") and the client named at booking ("the Client").
1. The Service
The Photographer will provide a 25-minute directed photography session at Spectrum Haus, [address], on [DATE], at the time slot selected by the Client. Following the session, the Client will receive a fully edited online gallery of approximately 30–50 images, from which they will select their ten (10) included images. Where the Client has purchased the b-roll add-on, footage will be transferred via AirDrop on the day where the Client has a compatible iPhone; otherwise, clips will be delivered with the Client's gallery.
2. Payment
The session fee is $450 + GST, payable in full at the time of booking. Payment secures the Client's spot. Optional extras: b-roll add-on ($99, payable at checkout) and full gallery upgrade ($250 + GST, payable at or after gallery delivery). All payments are non-refundable.
3. Cancellation & Transfers
All payments are non-refundable. The Client's spot is fully transferable to another person, provided the Photographer is notified of the replacement attendee's name and contact details at least 48 hours before the event. If the Client fails to attend their session without transferring their spot, no refund or reshoot is owed.
4. Punctuality
The event runs to a fixed schedule with back-to-back sessions. Clients should arrive at least ten (10) minutes before their allocated time. If the Client arrives late, their session will still end at its scheduled time — time lost is deducted from the session, not added to it. If the Client fails to arrive within their session window, this is treated as non-attendance under clause 3. The Photographer will always deliver the best possible gallery within whatever session time remains.
5. Cancellation by the Photographer
If the Photographer must cancel or reschedule the event due to illness, venue unavailability, or circumstances beyond reasonable control, the Client's booking will be transferred to the rescheduled date. If the Client is genuinely unable to attend the rescheduled date, a refund will be provided. This is the only circumstance in which a refund applies.
6. Editing & Image Style
Images are professionally edited for colour, exposure, tone and composition. The Photographer does not alter the Client's face, body, or skin (including smoothing, slimming or reshaping). Editing style is at the Photographer's discretion, consistent with their published portfolio. Requests to alter the Client's appearance fall outside this agreement.
7. Image Selection & Delivery
The full edited gallery (approximately 30–50 images) will be delivered within seven (7) days of the session. The Client selects their ten (10) included images from this gallery; the remaining images are available via the full gallery upgrade ($250 + GST). Raw/unedited files are not provided. Galleries remain available for thirty (30) days; the Client is responsible for downloading their images within that period.
8. Copyright & Usage
The Photographer retains copyright in all images. The Client is granted a non-exclusive, perpetual licence to use their purchased images for personal and business marketing purposes (website, social media, publications, press). Images may not be sold or sublicensed to third parties. The Client agrees not to apply filters or edits that materially alter the images without permission.
9. Portfolio Use
The Photographer may use images from the session for portfolio, website, social media and marketing purposes. If a specific image presents a significant issue for the Client, the Client may raise it with the Photographer, who will consider the request in good faith.
Website Templates & Canva Bundles
All purchases of website templates and Canva bundles are final sale, no refunds.
Delivery is digital, and files will be made available immediately after purchase.
Website Templates will be given access within 48 business hours (business hours: Tuesday - Friday)
Website Audit – Terms & Conditions

Delivery Timeline
Audits are completed between Tuesday and Friday. Delivery is within 5 business days from receipt of your completed onboarding form.
Client Responsibilities
Clients must provide complete and accurate website information via the onboarding form. Audits cannot proceed until the form is submitted.

The audit provides advice and recommendations only. Sophie Spencer is not liable for website performance, revenue outcomes, or technical issues following the audit.
Instagram Audit – Terms & Conditions
Service Description
The Instagram Audit includes a personalised 5-minute video reviewing your Instagram profile, bio, content, and calls-to-action. This provides actionable recommendations only; no content creation or posting services are included.
Delivery Timeline
Audits are completed between Tuesday and Friday, with delivery within 5 business days of receipt of completed onboarding information.

The audit provides advice and recommendations only. Sophie Spencer is not liable for account performance, follower growth, engagement, or any technical issues following the audit.
Flodesk Strategy Sessions
All Flodesk Strategy Session purchases are non-refundable. By completing your purchase, you acknowledge and agree that no refunds will be issued under any circumstances, including but not limited to: change of mind, failure to attend, or inability to complete the session within the required timeframe.
If you are unable to attend your scheduled session, you may reschedule with a minimum of 24 hours notice.
Rescheduling requests made with less than 24 hours notice will forfeit the session.
30-DAY USAGE REQUIREMENT: Your Flodesk Strategy Session must be booked and completed within 30 days of the date of purchase. Sessions not booked within this 30-day window will be forfeited with no refund or credit issued.
Create and Connect Sessions
Up to 2-hour group empowerment photoshoots with optional networking. Limited to 4 spots.
Each woman receives approximately 30 minutes of time in front of camera.
If two women attend, the photoshoot will be 1 hour long.
If three women attend, the photoshoot will be 1.5 hours long.
Etc.
Includes 10 edited images; full album available for purchase.
Sessions start on time. Late arrivals may result in fewer images.
Weather may affect location. See Sisterhood Photoshoot weather policy for details.
Sophie has the right to offer shifting of dates given that only one woman is booked in.
All sales are final. No refunds.
If unwell with 72 hours’ notice, session may be rescheduled or used as credit for another service (valid 2 months).
Sisterhood Photoshoot Experience
All sales are final. No refunds.
Transfers to another participant are allowed, but booking fees are non-refundable.
Weather Policy: Sessions may be altered or rescheduled in the event of torrential rain or dangerous weather conditions.
Light rain or wind: sessions still proceed.
If a session is cancelled, Sophie will offer a new date. If you cannot attend, the booking amount may be used as credit toward the next shoot or a individual photoshoot with Sophie.
Strategy & Branding Hotline Sessions
90 minute video calls via Google Meet.
72 hours’ notice required for rescheduling.
Late arrivals: time is deducted from session.
No-shows: rebooking fee $55; missed rebooking = no further refunds.
Sessions are advisory and focus on branding, creative strategy, and energetics; they do not constitute financial, legal, or professional business advice.
Boudoir Gift Vouchers
No refunds or change of mind on purchased gift vouchers.
Vouchers are valid for 6 months from the date of purchase.
If she chooses not to proceed with the boudoir session, the voucher may be used as credit towards another photoshoot, of equal value.
The session does not include studio hire.
If the chosen location is more than 50km outside Melbourne CBD, a travel fee of $75 per 30 minutes will apply.
All edited images are included in the package. Raw images are not supplied.
Standard cancellation and rescheduling policies apply and will be outlined in the contract.
Specific contracts will be supplied once dates have been booked.
Spectrum Haus Photoshoots
Mini shoots include 10 images; full gallery available from $175 + GST.
Final images delivered 2 weeks from shoot date.
All sales are final. No refunds.
Timing is strict; more than 5 minutes late may incur a $50 extension fee. Extensions may not be possible due to back-to-back bookings.
Rescheduling allowed with 72 hours’ notice; new date may be at a different studio.
Clients are responsible for any damage to studio property, including cleaning or repair fees.
